Excerpt from How to Write a Business Letter: For Use in Offices, Schools, and as a General Reference Book It is computed that there are written in the United States an annual average of eight letters for every man, woman and child of our population. In other words, nearly 650,000,000 letters are handled once in every twelve months. There is no practice so common as letter-writing. There is no one factor in the world of commerce upon which so much depends, nor no method of communication in our social life quite so delightful. If the sending of letters should become illegal, untold bonds of friendship would be broken, business paralyzed and thousands denied the means of a livelihood. Letter-writing is rapidly becoming one of the first essentials of a young man's ability. It is recognized as an all-powerful influence in determining where a position may go. It is not enough to be able to write a "good hand," but the young man of today must be able to marshal his thoughts in such a way as to carry weight, interest, attention and conviction. Letter-writing is also the best and cheapest means for creating sales. When Uncle Sam can take a letter into any part of this country of ours, many are realizing that if they can only get a correspondent capable of placing the facts before a possible purchaser in a convincing manner, the salesman can be withdrawn. The ordinary salesman of ability, getting a salary of $2500 a year, will cost another $2500 a year to send him around the country. $5000 a year spent in letter-writing, paying the correspondent the same salary the salesman is paid, will bring a house in contact with fifty times as many people. So much for the importance of the subject. Now read, study and think about what follows, with a firm resolve to get more familiar with the fascinating and profitable art of doing business by letter. Table of Contents Introduction Letter Writing Etiquette Clarity of Communication Keep It Brief (KIB) Tips Before You Send Your Letter Check for Accuracy Proper Spelling aka English as is “Spiked.” Careful about the Titles… Correcting your boss’s Grammar Tone of Your Business Letter I Am so Angry… Capital Letters, Punctuation and Typos How to Address Letters/Salutations Conclusion Native English speakers! Author Bio Publisher Introduction When I was studying at the local management college, more than 3 decades ago, one of our professors told us students, “You may become senior ranking managers, as you get promoted to higher ranks in your jobs, but if you do not know how to write an impressive, businesslike, and thoroughly professional business letter, you are going to go nowhere on the ladder to the top.” Many of us coughed rather sheepishly, because according to us, we were already managers in our minds’ eye, and we had a secretary to take our dictation, shorthand, and rightly business letter for us. Naturally, we woke up to reality soon after, when we began to work on our different jobs, and often we had to take care of the correspondence ourselves. Some of the letters were too confidential to be handed over to the office typing pool. This was way back in the late eighties and early nineties, when letters were still written by hand, and sent by mail. We did not know that within the next 15 years, the whole world would be tied up with an electronic network, and correspondence would be done by tapping on a keyboard on a desktop screen. Also, this book is not restricted to letter writing to people in your own country or area. In this millennial world today, your job is to expand your horizons and that is why, this book is going to tell you all about writing letters in a global context. Also, you are going to be told something about cultures and traditions, and business environments of other lands and people, which may look strange to you, but that is the way business writing has been done for millenniums, according to their culture, standard of literacy, and society. Many people who are not quite well versed with office etiquette are under the impression that letter writing is something not very important because after all, you are messaging your clients, or you have one stereotyped format, which you send out as acknowledgment for every email sent to your company, with a paragraph telling the client that he is going to be contacted by somebody in the next 12 – 24 hours, and thank you for getting in touch with us. The mail, of course, has a do not reply address on top. You may think that this is a pretty nifty and modern way of tracking your correspondence, but in many parts of the world, where business dealings and environments are still pretty old-fashioned, a well-written letter is quite impressive, especially when the receiver makes his first impression on your correspondence, especially when it is a first-time letter to his company. I remember, way back in 87, when I was at university, in a comparatively small town, and went to the market, to buy some handmade traditional shoes, for which that particular town was famous all over the country. They did not speaking English, there.

Excerpt from The Business Letter IN the modern evolution of business, the business letter plays an important part. It facilitates the handling of the daily routine and makes it possible to do business wherever there is a postal system. Whether a mail order business is carried on or not, the letter is no less important. Goods are bought, collections made, complaints adjusted, instructions given, business policies and selling campaigns outlined in the business letter. And where the selling is done by mail, the sales letter is with out a peer in importance. In short, the whole machinery of business is kept in Operation by means of the business letter. It is a factor in business which is steadily increasing in importance. Letters that have life and personality letters that draw trade are not easy to write. They call for specialization, and this field has begun to attract men of some literary ability. A good letter appeals to the reader in two ways: first, in its mechanical make-up and, second, in the presentation of the subject matter. The first requires correct arrangement, punctuation, paragraphing, margins, balance, and suitable stationery. This is necessary to the all-important first impression which the reader gets from the letter. For a successful handling of the subject matter, the writer must have a good command of English a smattering will not answer. The phrases must be well chosen, clear, convim cing, and adapted to the person to whom the letter is written.
